Barter Collaborations

  1. Covai Space is always eager to support creative endeavors. However, as with any business, we have fixed costs to run and maintain our studio.
  2.  While we strive to offer a seamless experience with continuous upgrades to our inventory, at this time, we are unable to accommodate or offer barter collaborations.
  3.  We kindly encourage you to explore the wide range of services and facilities that Covai Space offers. We are confident that you will find our space ideal for your shoot, and we look forward to the opportunity to host you.

Booking a Slot at Covai Space

  1.  Once you or your team has decided on a preferred or tentative shooting date, please feel free to reach out to us via WhatsApp. Our team will be happy to assist you in exploring our available options, confirming availability, and helping with the booking process.
  2. If you are already familiar with Covai Space and its offerings, you may directly check availability and book your desired slot online.
  3. Please note that the minimum booking time for any slot at Covai Space is 2 hours.

Slot Confirmation

  1. Once the booking process is completed, you will receive a confirmation message via WhatsApp and email.
  2. An invoice for your slot booking will also be sent to you via WhatsApp and email, reflecting the payment made for the reservation.

Calculating Slot Hours for Booking

  1. Please ensure you select the correct entry and exit times when booking, as this will include the time for makeup, shoot, and pack-up.
  2. The studio will be handed over strictly according to the timings specified during your booking process.

Pricing & Negotiation

  1. Covai Space maintains fixed pricing for all clients, whether Business-to-Business or Business-to-Customer.
  2. Our pricing structure is consistent for both photographers and direct clients.
  3. We are committed to transparency, and all of Covai Space’s pricing is readily available on our website and via WhatsApp for easy reference by all technicians.
  4. Please note that Covai Space cannot be held responsible if your clients are aware of our pricing, and we kindly request that you avoid overcharging them for studio usage.
  5. Covai Space does not negotiate our pricing based on the name or fame of any artist or celebrity.
  6. We do not offer any discounts, either directly or as referral fees, to any individual.
  7. Our pricing is non-negotiable, regardless of the number of hours or slots booked.
  8. If the shoot concludes before the scheduled end time, we encourage clients to make the most of the time available, rather than requesting a refund for unused time.

Cancellation / Refund

  1. In the event of a cancellation, the booked slot will become void and no refund will be provided.
  2.  No refunds will be issued if there is a no-show for the booked slot, regardless of the circumstances.
  3. Unfortunately, Covai Space cannot offer refunds for unforeseen circumstances such as electrical outages or equipment failure that occur during your shoot.

Calculation of Additional Hours / Premium Materials

  1. Additional hours may be available on the shoot day, subject to studio availability, and will incur an additional charge, which must be paid directly at the studio.
  2. Covai Space is not responsible for any miscalculations made during the initial booking, and the studio must be vacated according to the booking schedule for the next client.
  3. Premium materials are available with prior acceptance of additional charges, as per the list provided in the studio.
  4. An additional charge of ₹1000 will apply if your shoot involves more than 10 people, including children.

Breakage / Damage of Inventory

  1. In the event of damage to any inventory, charges will be applied based on the actual market cost of the item, regardless of its depreciated value, whether the damage was intentional or accidental.
  2. We kindly advise our clients to refrain from touching any props, lights, or modifiers unless absolutely necessary for posing, to avoid any potential damage.
  3. Should any prop be damaged by children, the cost of replacement will be charged based on the current market price for immediate replacement.
  4. Any additional billing incurred due to damage will need to be settled at the time of your exit, with no obligation on your part.

Change of Slot Date / Time

  1. The booking process is automated and cannot be manually adjusted to a different time or date once confirmed.
  2. We recommend that clients carefully plan their shoot schedule prior to booking, as changes to slot dates or times are not possible once confirmed.

Power Backup

  1. Covai Space consistently monitors and maintains our electrical connections to ensure smooth operation throughout your production.
  2. We have installed a 2 KVA inverter for set lights and fans, ensuring that the studio remains functional in the event of a power outage.
  3. A 5 KVA genset is available to provide power for photography and videography lighting equipment, ensuring seamless shooting even during a 3-phase power cut.
  4. Please note that air conditioners will not function in the event of a 3-phase power cut. The issue will be resolved in accordance with TNEB (Tamil Nadu Electricity Board) guidelines.

Studio Assistant

  1. A dedicated studio assistant will be available to assist with inventory management, including setting up backdrops, props, and lighting adjustments according to your needs.
  2. Our assistants may be trainees, so we kindly ask for your patience and understanding as they assist you during the shoot.
  3. It is mandatory for at least one assistant to be present throughout the duration of the shoot.
  4. All assistants are salaried employees. While tipping is entirely at the client’s discretion, management does not intervene in any personal exchanges between clients and assistants.

Parking Space

  1. Covai Space offers reserved parking for one car and five two-wheelers on the studio premises.
  2. Two-wheelers can be parked within the studio premises.
  3. Cars must be parked along the side or behind the roads adjacent to the studio.
  4. Covai Space is not responsible for any vehicles towed by the Coimbatore Traffic Police for parking violations.
  5. We also cannot take responsibility for any dents or scratches on vehicles parked within or outside the premises during the shoot.

Wheelchair / Lift Facility

  1. Please note that Covai Space is located in a First floor, and we do not have wheelchair-accessible facilities.
  2. The premises do not have a lift facility.

Restroom / Toilet Facility

  1. We have one restroom available within the studio premises.
  2. The restroom is regularly maintained to ensure cleanliness and comfort.
  3.  If any discomfort arises inside the restroom, please inform the management or studio assistants, and our staff will promptly attend to any cleaning needs.
